Spring Move Out Information

As the end of the academic year approaches and residents are planning to move out, please be sure you are aware of the following information and requirements:

As a reminder, your 2024-2025 License Agreement is in effect until the day you successfully complete the Check-Out process as instructed below.


IMPORTANT TO KNOW:

  • Residents are encouraged to check out prior to May 16th if they wish to avoid heavy traffic during commencement.
  • The deadline to move out is 12PM on Monday, May 19th.
  • Heavy traffic is anticipated during commencement weekend starting on Friday, May 16 - Sunday, May 18. Consider planning your move-out around high traffic times.
  • The Equipment Room will provide extra resources to residents from move-out bins and cleaning materials. See below for hours.

All Residents - Steps for a successful Check-Out: 

To complete your check-out properly, you need to:
  1. Remove all personal belongings from the unit.
  2. Return and clean your bed space and the community areas to the original check-in condition.
  3. Complete a Check-Out Envelope, sealing your keys (if applicable) and To-Go Container Card (if applicable) inside. Then drop the completed envelope into the Check-Out dropbox.
  4. Envelopes and drop boxes are in the following locations:
    1. Calaveras/Coloma/Sierra/Sonora - El Dorado lobby on the wall left of the desk
    2. Tamalpais - Tamalpais lobby on the wall across from the front desk
    3. Shasta/Diablo - On the wall in the lobby of the respective building
    4. Sequoia/Juniper - Lobby on the wall across from the front desk
If you move out and do not check out properly, you are subject to additional fees:
  • Improper checkout fee: $ 50.00
  • Additional Rent: $ 100.00 nightly
  • Key Charge: $ 25.00 per key
  • To-go container card: $ 10.00
  • Cleaning/damages: charges may vary

If you forgot to turn in your keys, here are instructions to return them:

  • Send certified mail to:
    • University Housing and Residence Life
    • Attn: Housing Accounts
    • 1901 Harder Rd.
    • Hayward, CA 94542
  • Ensure the keys are labeled with your name, net ID, and room number inside the envelope

Summer Residents Transitions

Summer residents will be provided information on their summer transition at another date. Summer residents will receive a separate email with instructions for moving to their summer assignment. There will be no need to relocate off-campus during any of the dates, and residents will be provided a transition period from their Spring space to a summer space. DINING:

Your meal swipes and flex expire on May 16th, 2025 at 8:00pm.

  • The last meal available in the Pioneer Kitchen (PK) for the spring semester will be lunch on Friday, May 16th.
  • Micromarket will be open until 6PM that evening for standard purchases, as well as options for take-out dinner through Ghost Kitchen from 5-7:30PM.
  • to learn more about other dining hours during Finals Week.
  • Reminder: Please use all of your flex dollars by Friday, May 16th. Any remaining flex after that time will expire.
  • All need to be returned to the PK before the last lunch meal or at the Micromarket before 12PM on May 16th. Exchange cards need to be submitted with your check-out envelope to ensure that you do not result in a lost card fee.

INFORMATION REGARDING YOUR MAIL:

Due to U.S. Postal Service regulations, the Post Office does not forward mail from this address. For uninterrupted mail service, please notify your friends, relatives, credit card companies, magazines, etc., of your new mailing address. All mail received after you check out will be returned to the sender. If you have any questions regarding your check-out, please feel free to email housing@csueastbay.edu.

CLEANING SUPPLIES AND EQUIPMENT CHECK-OUT - Lassen Community Room

As you prepare to check out, various supplies will be available to borrow by visiting the Equipment Check-out Room in the front part of the Lassen Community Room (directly across from Sequoia Hall). Please bring an ID other than your BayCard to check out the equipment.

Supplies include a vacuum, broom, paper towels, cleaning spray, and moving carts. Supplies are available on a first-come, first-served basis.

Equipment Room Hours

  • May 9th - May 11th: 10 AM - 5 PM
  • May 12th - May 18th: 9 AM - 10 PM
  • May 19th: 9 AM - 11 AM

TRASH

Large green dumpsters will be placed around Pioneer Heights. Click here for the map. Please use this for landfill garbage and be sure to put recycling in the blue bins as usual. If a dumpster is overflowing, please find a different dumpster. Please do not set trash on the ground of the trash enclosures as it will attract pests.

E-WASTE

In the El Dorado Hall community room, you can drop off your items for E-Waste. They will take items like old TVs, laptops, tablets, monitors, old cell phones, cable/wire/charges, computer equipment, etc. Please do not place these items in the landfill dumpsters as it can lead to fines for the university. Thank you for recycling your E-Waste.

TRAFFIC FLOW & PARKING

Beginning Friday, May 9, 2025. Access to Housing will be at the main street light across from the RAW and at the service road leading into the Pioneer Kitchen. The service road behind Tamalpais/Shasta will be the street right before the Dining Commons (Pioneer Kitchen). Other street traffic will be one-way out of Pioneer Heights to allow for unloading zones.

Please review the map to review areas of designated 20-minute loading zones or no parking zones. Please follow the signage. Refer to this map for parking/traffic details.

NOTE - University Commencement will take place from May 16 through May 18. We urge that you review the commencement ceremony times to plan around high traffic hours. During these three days, CSUEB traffic pattern will be adjusted to have a one-way campus entrance only at Carlos Bee Blvd. Entrance to Housing will need to follow Commencement traffic.

Free Fest Event

FREE FEST

FreeFest is East Bay’s sustainable pop-up donation location! FreeFest helps keep gently used items out of the landfill and gives them a second home. Donations from residents can include electronics, kitchenware, clothes, textbooks, and unopened, non-perishable food. Big-ticket items from past years include printers, crockpots, fans, and lamps! The following items are prohibited: undergarments (including bathing suits), open makeup, open food, or used toiletries.
